How is IComp different than its national competitors?

Providing payroll and HR outsourcing services is incredibly competitive but we continue to succeed at this by putting one item above all others, SERVICE!  We are a small business ourselves and we understand and strive to provide our clients with the same level of service we expect in our own lives. We believe you should never have to wait on hold for hours, call into call centers for help or get bounced from account executive to account executive. We continue to answer calls live, we continue to have dedicated specialists that partner with every client and we continue to put our focus on you, not us.

When is the best time to switch payroll providers?

Most payroll service providers will tell you the best time to switch is at the end of the quarter or at the end of the year.  They recommend this because they place most of the burden of switching on you the client.  At iComp, we will help you transition your small business payroll at any point during the year.  We handle the entire transition process and take care of inputting all employee data including entering the current year employee wages, so you don’t have to.  If you are ready to switch payroll providers, you shouldn’t need to wait until the end of a quarter or end of the year.  We understand this which is why we are ready when you are! 

Is iComp a franchise or affiliated with a large national provider?

No, iComp Payroll & Human Resource Services is an independent local payroll company located in Minneapolis, Minnesota. We were originally founded in Saint Paul, Minnesota in 1997 and have been one of the leading payroll services for small businesses now for over 20 years in the Twin Cities.  Even though we are a small local payroll company we are currently processing payroll for our clients located in over 30 states.

How hard is it to change payroll companies?

We have a well-developed system in place to make this as easy as possible for you.  Many other payroll providers put the burden of switching payroll companies on you the client.  To us that seems like a hurdle to convert so here at iComp we take on the entire transition process to make it as easy as possible for you.  We start this by logging into your current online payroll software to retrieve and download data, we then input that information on your behalf into our system and then we review all payroll and tax records before your first check date with us.  All we need is access to the data and then you can sit back and relax as we will take it from there.

If we switch payroll providers during the year will my employees receive two W-2’s?

No, as part of our full-service transition process we enter all of your employees wage and tax information for the current year and they will receive just one W-2 at year end. 

Who do I call if I have a question about my account?

Every client has a dedicated specialist who is knowledgeable about their account, easily accessible, and can address you by name.  We don’t believe in call centers, long hold times or cycling through employees.

Will you make all tax payments and file all tax returns on our behalf?

Yes, we will file all Federal, State, and Local payroll taxes on your behalf – on time, every time.

What happens if iComp makes a tax payment late or doesn’t file a return on time?

As part of our payroll service guarantee we promise all payroll taxes and payroll tax returns will be filed on time. If you ever receive a tax notice from the IRS, or any other tax agency, based on a filing iComp made for your business, our team will work with the agency to resolve the issue on your behalf.  If we are at fault, we will pay the associated penalties and interest, guaranteed.

What’s the best thing about iComp?

Does it cost extra to offer direct deposit to my employees?

No, we include direct deposit for all employees free of charge.   

Can my employees view their paystubs online?

Yes, they can easily access through our free employee self-service app which can be downloaded from the Apple Store App or Google Play.

Do you charge extra to file quarter end returns?

No, we will file all Federal, State, and Local payroll tax returns on your behalf – on time, every time at no additional cost.

Do you charge extra to add new employees to the payroll and hr software?

No, that is pretty much the definition of nickel and diming and we don’t stand for that.  We are thrilled you hired a new employee, and we are happy to help you get them in the system.

I am a busy small business owner and I forget to submit payroll sometimes; will you help remind me?

Yes, absolutely.  Our team builds out a detailed calendar of your payroll submission dates and corresponding check dates.  As your processing date approaches, we will send you an email reminder to submit and if you continue to delay, we will follow up with a phone call as well.

Will you train me/us on your payroll system?

Yes!  We want you to feel comfortable and confident in our online payroll and HR software and because of that we don’t limit our customers to a certain number of trainings or number of hours as they are learning our software. As part of our conversion process, we schedule training with you on our payroll, human recourses and time and labor modules.  These are live trainings with you and/or your managers and you always have direct access to our staff to ask questions.

How do I submit my payroll information each pay period?

We offer multiple input methods to match the needs of your company including online payroll submission, Excel Pay Sheets, Email or even call in.    During the implementation process we will work with you to find the most convenient way for you to submit.

Am I able to enter my payroll online?

Yes, we are happy to have you submit information through our online payroll services.  We will provide all of the necessary training and make sure you are comfortable and confident in our system.

Do I have to enter my payroll information in online or can I send it to you to enter?

We don’t believe in forcing you into just one way of submitting payroll to us.  If you would prefer to send an excel sheet over or call hours into our staff that is perfectly fine.  During the conversion process we will work with you to find the best way for you to submit.   

When do I need to submit payroll?

If you are enrolled in our direct deposit or tax payment services, we will need your payroll information between two and four business days prior to your check date.  For example, if you have a Friday check date we would need your information on Monday, Tuesday or Wednesday.  During your initial setup, we will work with you to find the optimal time to submit.

How does direct deposit work and is it safe?

Employee’s paychecks are automatically deposited in their checking and/or savings account on pay date. On payday, employees will receive an earnings statement (voucher) which shows the gross pay, taxes withheld, other deductions or additions, and net pay. Direct deposit eliminates the possibility of lost, stolen, or forged checks and reduces trips to the employee’s financial institution.

When will funds be debited from our account?

All clients enrolled in our direct deposit and/or Tax Payment services will have funds debited from their designated account(s) one business day prior to the check date.

I want to pay my taxes through the Electronic Federal Tax Payment System (EFTPS), how do I know what taxes are due?

Each payroll, you will receive a Payroll Liability Recap report that will list all tax liabilities for the payroll and, if due, the deposit due dates.  If you don’t want to deal with the hassle of submitting or the responsibility of timely deposits just let us know and we would be happy to enroll you in our tax pay service.

Can my accountant or other third party receive copies of my payroll reports?

Yes, you can give access to your accountant or other third party through our online platform, or we can generate a customized report packet to deliver to your designated third party on a schedule you determine.

Am I able to import my payroll information into QuickBooks?

Yes, please contact your payroll specialist or sales representative. With a little setup and a small fee, we can generate files each payroll for you to import into your QuickBooks.

What is New Hire Reporting?

In 1996, Congress enacted a law called the “Personal Responsibility and Work Opportunity Reconciliation Act,” or PRWORA, as part of Welfare Reform. This legislation created the requirement for employers in all 50 states to report their new hires and re-hires to a state directory.  Have no fear, we can help you report this information.

Is iComp able to report new hires and re-hires on our behalf?

Yes, not a problem at all.  Just notify your sales representative or payroll specialist you would like this service and leave the rest to us.

Can I export my data at a future date?

Yes, data is available for export if required. Using one software solution for everything makes it easier to collect data, prepare reports, and export data as needed.

What support does iComp offer?

We offer full support for our customers in all aspects of customizing, deploying, and using our payroll and human resources software. From your first contact with our company, we strive to answer questions and to provide the support and assistance our customers need to quickly implement the software within their business.

Will iComp help me train my employees?

Yes, as part of our support, we provide live training for all of our customers to get started using the software. After these initial trainings, our team is available to provide personalized, one-on-one support with any questions you may have about the software. You are welcome to include managers in on the live trainings, which are not limited to a specific number of hours.

How will your team help us to manage change?

Yes, our team is here to support the migration from a current payroll provider to iComp Payroll & Human Resource Services. You provide us access to your data on the other provider, and we will do all the rest.
